Information collected from your customers

When your customers submit estimate requests, we collect:

  • Video recordings of their project.
  • Contact information they provide (name, email).
  • Any notes or descriptions they submit.

You are responsible for ensuring your customers have consented to this collection. See Section 7 (Contractor Responsibilities).

Information collected automatically

  • IP address, browser type, and operating system.
  • Pages visited, time spent, and links clicked on the Site.
  • Device identifiers.
  • Cookies and similar tracking technologies.

3. How We Use Your Information

We use the information we collect to:

  • Provide, operate, and improve the Services.
  • Generate AI-powered estimates on your behalf.
  • Send invoices and facilitate payments.
  • Send you transactional emails (account activity, invoice confirmations, estimate delivery).
  • Respond to your support requests.
  • Monitor and analyze usage patterns to improve the Services.
  • Detect and prevent fraudulent or unauthorized activity.
  • Comply with legal obligations.

We will only process your personal data where we have a lawful basis to do so — including contract performance, your consent, or our legitimate business interests.

4. Data Sharing & Disclosure

We do not sell or rent your personal information. We may share your data only in the following circumstances:

  • Service providers: We share data with trusted third-party vendors who help us operate the Services — including hosting, payment processing, email delivery, analytics, and AI processing. These parties are contractually bound to use your data only as necessary to provide their services.

  • Business transfers: In the event of a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction.

5. Video Submissions

When your customers submit estimate requests, they upload short video recordings of their project. These videos are processed by our AI to generate estimates and are stored securely on our servers.

Video data may be used in aggregate and anonymized form to improve the accuracy of our AI models. Individual videos are not shared with other Service Providers.

Videos are retained for [X] months after submission and then deleted from our active systems. You or your customers may request earlier deletion by contacting support@rendwell.com.

6. Payment Data

Payment processing for invoices is handled by Stripe. Rendwell does not store full payment card numbers or bank account details. All payment data is transmitted directly to Stripe and is handled in accordance with PCI-DSS standards and Stripe's Privacy Policy.

7. Contractor Responsibilities

As a Service Provider using Rendwell, you collect and input data from your customers into our platform. You are responsible for:

  • Obtaining all necessary consents and permissions from your customers before inputting their data.
  • Informing your customers about how their data will be used through the Services.
  • Complying with all applicable privacy and data protection laws.
  • Handling any data access, correction, or deletion requests from your customers.

Rendwell is a data processor acting on your behalf for customer data you provide. You remain the data controller for your customers' information.

8. Data Storage & Security

Your data is stored on secure cloud infrastructure. We use industry-standard security measures, including encryption in transit (TLS) and at rest, to protect your information from unauthorized access, use, or disclosure.

We restrict access to personal data to employees and contractors who need it to provide the Services. While we take reasonable precautions, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

You are responsible for safeguarding your account credentials and should notify us immediately if you suspect unauthorized access.

9. Data Retention

We retain your personal data for as long as your account is active or as necessary to provide the Services. We also retain data as required to comply with our legal obligations, resolve disputes, and enforce our agreements.

When you delete your account, we will cease active use of your personal data and delete it from our active systems within a reasonable timeframe. Some data may be retained in backup systems for a limited period or as required by law.

We use cookies and similar tracking technologies to understand how users interact with the Site and to improve the Services. We use analytics tools (including PostHog) to collect anonymized usage data.

We use the following third-party services in operating the platform:

  • Supabase — database and authentication.
  • Stripe — payment processing.
  • Resend — transactional email delivery.
